What reviewers require for a certified academic transcript translation
- When filed with USCIS, the entire transcript must carry a full English translation certified by the translator as complete and accurate, plus the translator's certification of competence to translate from the source language into English (8 CFR 103.2(b)(3)).
- Every course row, credit value, grade, and total must be translated with nothing omitted or summarized; a transcript translation that drops rows or condenses tables is not a complete translation.
- The grading scale, key, or legend, often printed on the reverse side, must be translated because evaluators and admissions offices rely on it to interpret the grades.
- Grades and GPA must not be converted into the US system in the translation; grade conversion is performed by the credential evaluator, not the translator.
- Registrar seals, stamps, signatures, and handwritten annotations must be rendered or described, and the student's name and all dates copied exactly as printed, consistent across all pages and with the matching diploma translation.
- Illegible entries (smudged stamps, faint handwriting) are marked as illegible in the translation rather than reconstructed.
Common reasons translations get rejected
- Pages or the reverse side with the grading legend are left out, making the translation incomplete; incompleteness is a standard basis for rejection by evaluators and for a USCIS Request for Evidence.
- The translator converts grades to a US GPA or letter grades, which conflicts with the credential evaluator's conversion and can cause the evaluation or the petition record to be questioned.
- Rows are dropped from long grade tables or credit totals no longer match the original, so the receiver cannot reconcile the translation against the source document.
- Course and institution names are rendered inconsistently across pages or differ from the diploma translation, creating apparent discrepancies in the file.
