Security Policy

Future Gen Sync LLC, a Wyoming limited liability company doing business as Eagle Translate ("Eagle Translate," "we," "us," or "our"), recognizes that translation orders may contain sensitive identity, immigration, court, academic, financial, employment, and health information.
This Security Policy describes the types of administrative, technical, and organizational safeguards we use or require for the Eagle Translate website, customer accounts, translator workspace, uploaded documents, translated documents, and related systems (the "Service").
This policy is a public summary, not a complete description of internal controls. Publishing detailed system configurations, detection logic, vendor settings, or response procedures could weaken security.
1. Security Is a Shared Responsibility
We design safeguards to reduce risk, but no website, transmission method, storage system, person, or vendor is completely secure. We cannot guarantee that a security incident, service interruption, loss, or unauthorized access will never occur.
Customers are responsible for secure devices, networks, email accounts, passwords, recipients, and lawful document submission. Translators are responsible for following the Translator Agreement, using secure equipment and connections, and protecting every assigned document.
2. Risk-Based Security Program
Our security program is intended to be proportionate to the nature and sensitivity of the information processed. It may include:
- assigned responsibility for security and incident handling;
- periodic assessment of foreseeable internal and external risks;
- policies for access, confidentiality, data handling, retention, and incident response;
- workforce and translator security obligations;
- vendor and processor review;
- logging, monitoring, maintenance, and vulnerability remediation; and
- review and improvement of safeguards as the Service changes.
Safeguards may differ across systems, environments, data types, and service providers.
3. Data Minimization and Purpose Limitation
We seek to collect and disclose only information reasonably needed to quote, perform, support, secure, and document an order or translator relationship.
Customers should redact information that is not needed for translation and should not upload unrelated records. Translators receive access only to files and instructions reasonably needed for assigned work.
We do not authenticate source documents. Security screening, fraud review, or file scanning does not establish that a document is genuine, accurate, complete, lawful, or safe to rely on.
4. Encryption and Protected Transmission
The Service is designed to protect ordinary website and account traffic using HTTPS and current transport-layer encryption supported by our infrastructure.
Production files and system data are stored using protected cloud or application storage. Depending on the component and provider, safeguards may include encryption at rest, provider-managed key controls, access restrictions, and secure backups.
Encryption reduces risk but does not eliminate risks created by compromised credentials, infected devices, authorized-user misuse, configuration error, vulnerable software, or a recipient's handling of downloaded files.
Customers and translators should avoid sending source documents or completed translations through unapproved or unencrypted channels.
5. Identity and Access Controls
We apply role-based or need-to-know access principles. Controls may include:
- unique accounts and authentication;
- password and session controls;
- least-privilege access;
- separation of customer, translator, support, and administrative functions;
- restricted administrative access;
- access revocation following role or assignment changes;
- logging of security-relevant access and events; and
- additional verification for sensitive actions when supported.
An assigned translator should be able to access only the order material needed for that assignment. Translator access may be time-limited, revoked after completion, or suspended for security or compliance reasons.
Customers must not share account credentials. Notify support@eagletranslate.com promptly if an account, email address, or device may be compromised.
6. Translator and Workforce Confidentiality
Translators are independent contractors, not employees of Future Gen Sync LLC. Before receiving assignments, they are required to agree to confidentiality, data-security, restricted-use, incident-reporting, and secure-deletion obligations.
Translators may not:
- use customer documents for personal purposes, training, portfolios, publicity, or unrelated work;
- disclose documents to another person or subcontract work without written authorization;
- upload customer content to public, consumer, or unapproved artificial-intelligence, machine-translation, optical-character-recognition, storage, or collaboration services;
- keep unnecessary local copies after the authorized retention period; or
- certify work without personally reviewing and approving it.
We may investigate access records, require corrective action, suspend assignments, or terminate platform access when a translator violates security or confidentiality requirements.
7. Application, Infrastructure, and Operational Security
Depending on the system, our practices may include:
- separating production access from ordinary user access;
- applying security updates and patches based on risk;
- using provider firewalls, network controls, rate limiting, and abuse protection;
- scanning or blocking certain malicious uploads;
- maintaining development and change-management practices;
- monitoring errors, availability, suspicious activity, and security events;
- backing up selected data needed for resilience; and
- limiting production secrets and administrative credentials.
No control is effective in every circumstance. We may modify controls, vendors, and architecture as threats and the Service evolve.
8. Payment Security
Payments are processed through an independent payment processor. Payment-card numbers and card security codes are intended to be entered directly into the processor's protected payment interface rather than stored by Eagle Translate.
The payment processor maintains its own security and compliance program. We may retain limited transaction information, such as payment status, amount, card brand, last four digits, and processor reference number, for accounting, refund, dispute, and fraud-prevention purposes.
Never send full card details to Eagle Translate by email, support message, or document upload.
9. Service Providers and Vendor Risk
We rely on providers for functions that may include hosting, file storage, payment processing, email, support, analytics, document processing, fraud prevention, and security.
We seek providers appropriate to the information and function involved and may use contractual, access, confidentiality, data-processing, and security requirements. A provider's certification or compliance report, if any, relates to that provider's controls and does not by itself certify Eagle Translate or guarantee the entire Service.
Third-party systems remain subject to their own vulnerabilities, outages, personnel, and legal obligations.
10. Logging, Monitoring, and Abuse Prevention
We may log account, device, network, upload, download, assignment, approval, administrative, payment-status, and security events. Logs may be used to:
- investigate suspicious access or document misuse;
- prevent fraud, automated abuse, and attacks;
- troubleshoot availability and performance;
- confirm translator review or approval activity;
- enforce agreements; and
- preserve evidence or comply with law.
Monitoring is not continuous human review of every event, document, or account and does not create a duty to detect every attack, forgery, error, or misuse.
11. Retention, Deletion, and Backups
We retain information according to operational, contractual, security, dispute, tax, accounting, and legal needs described in the Privacy Policy.
Deletion from an active system may not immediately remove information from disaster-recovery backups, security logs, legal holds, or records that must be retained. Backup data is isolated from routine use and expires or is overwritten according to applicable cycles and technical constraints.
Customers should download completed translations they need and delete eligible content or accounts when continued storage is unnecessary.
Translators must delete local and temporary copies after completing an assignment or when instructed, except for records they are legally required and expressly authorized to retain.
12. Incident Response and Notification
We maintain processes intended to identify, assess, contain, investigate, and recover from suspected security incidents. Depending on the incident, actions may include:
- disabling accounts or credentials;
- isolating affected systems;
- preserving logs and evidence;
- engaging providers, advisers, insurers, or law enforcement;
- determining affected information and individuals;
- restoring systems and correcting control weaknesses; and
- providing legally required notices.
When W.S. 40-12-501 through 40-12-511 applies, we will investigate and provide notice of a qualifying breach involving personal identifying information in accordance with applicable Wyoming requirements. We will also assess and comply with the breach-notification, sensitive-data, and health-data laws of other jurisdictions when they apply to affected individuals or processing activities.
A security event does not necessarily constitute a legally reportable breach. We determine notification obligations based on the facts and applicable law.
13. Customer Security Responsibilities
Customers must:
- use a unique, strong password and protect the associated email account;
- keep devices, browsers, and security software current;
- use trusted networks and avoid public or shared computers for sensitive documents;
- confirm recipients before forwarding or downloading files;
- limit uploads to the information necessary for translation;
- ensure they are authorized to submit each document;
- promptly review account activity and report suspected compromise; and
- maintain their own copies of documents needed for legal or business records.
We are not responsible for exposure caused by a customer's recipient choice, email forwarding, shared account, compromised device or email, reused password, public download link, or failure to secure a downloaded file, except to the extent applicable law provides otherwise.
14. Reporting a Security Concern
Report suspected vulnerabilities, unauthorized access, account compromise, or accidental disclosure to:

Subject: Security Report
Include a clear description, affected URL or order number, date and time, steps to reproduce if relevant, and your contact information. Do not include unnecessary personal documents, exploit data beyond what is needed to demonstrate the issue, access another person's information, disrupt the Service, or publicly disclose an unresolved vulnerability.
We may acknowledge, investigate, request more information, remediate, or close a report based on severity and reproducibility. We do not promise a reward, a specific response time, or a particular outcome.
15. Security Policy Is Not a Warranty
This policy describes general practices and goals. It does not:
- create a guarantee that every listed measure applies identically to every component;
- promise uninterrupted or error-free operation;
- guarantee prevention or detection of every incident;
- expand liability beyond the Terms of Service; or
- replace a customer's or translator's own security, privacy, professional, or legal duties.
Any limitation is subject to rights and obligations that cannot be waived under applicable law.
16. Changes and Contact
We may update this policy as our systems, providers, practices, and legal obligations change. The current version will be posted with its effective date.
